Choose a Pipedrive alternative by the work your team cannot complete reliably today. HubSpot is worth evaluating for a shared marketing, sales and service operation; Attio for a more flexible relationship model; Close for a calling-heavy sales motion; and Zoho CRM for prescribed process transitions. Validate those hypotheses with your own workflow before migrating.

A replacement CRM should remove an operating constraint. A different interface is not enough.

Start with one recent failure: a lead received conflicting follow-ups, a renewal had no owner, or a manager could not reconcile pipeline to the revenue forecast. Then establish whether the cause was a missing capability, a configuration decision or an undefined process.

This distinction protects you from moving the same problem into another subscription. [CRM and lifecycle design](https://www.martechdevs.com/crm-lifecycle) is useful when the ownership rules need fixing before a product comparison can be meaningful.

## When should you keep Pipedrive?

Keep it on the shortlist when the main job remains a clearly defined sales pipeline with contacts, activities and follow-up.

Check the current product before relying on an old limitation. Pipedrive's current comparison lists automation and email sync from Growth, with capabilities such as required fields, custom-field reports and more granular team controls on Premium. Projects is also available, with inclusion depending on the tier. [Pipedrive plan features](https://support.pipedrive.com/en/article/what-features-do-the-pipedrive-plans-have)

This does not prove it meets your requirement. It does mean “Pipedrive cannot automate anything” is not a sound reason to migrate.

Try a repair test first:

- Can the missing field be defined clearly?
- Can one owner be assigned to every active deal?
- Can the relevant handover be implemented on an appropriate plan?
- Can the report be rebuilt with consistent stage definitions?
- Can an unnecessary external tool be removed without losing capability?

Price that repair and compare it with the full move. Our [Pipedrive pricing guide](https://www.martechdevs.com/blog/pipedrive-pricing) includes the difference between paid seats, add-ons and capacity limits.

Do not keep a system merely because migration is inconvenient. Keep it when the corrected configuration supports the business with less ongoing work than the alternatives.

## HubSpot: evaluate the customer journey across teams

HubSpot is a sensible candidate when marketing, sales and service need shared customer context and coordinated work. Its product range covers those functions around a CRM platform. That breadth is a reason to evaluate it, not proof that every capability is included in one entry-level subscription. [HubSpot customer platform](https://www.hubspot.com/products/crm)

The useful demonstration is a complete journey:

1. A prospect submits a form.
2. The correct owner receives the record with source context.
3. Sales creates and progresses an opportunity.
4. A customer issue is visible to the relevant team.
5. Renewal work begins with the latest commercial and support context.

Ask what happens when the email changes, the company has two deals, or the customer unsubscribes from marketing. A happy-path demo does not establish a shared operating model.

Budget access by role and confirm the applicable account model. HubSpot has separate documentation for its standard seats and its limited-release model, so a universal statement about which seat every customer must buy would be misleading. [HubSpot seat management](https://knowledge.hubspot.com/account-management/manage-seats), [limited-release seats](https://knowledge.hubspot.com/account-management/manage-seats-in-your-hubspot-account)

The trade-off is scope. A wider platform introduces more decisions about contact management, subscriptions, permissions and cross-team ownership. If the team only needs a disciplined sales queue, that breadth may add work.

Use the [HubSpot implementation checklist](https://www.martechdevs.com/blog/hubspot-implementation-checklist) to assess whether the organisation can support the wider setup.

## Attio: evaluate the relationships behind the pipeline

Attio is worth testing when companies and deals are only part of your commercial model.

A SaaS business may need to connect companies, product workspaces, subscriptions and partnership agreements. A single “customer status” field cannot accurately represent all of those relationships.

Attio offers custom objects on Pro and Enterprise. Its documentation also cautions that some standard-object functions do not carry over: email sending targets people, and email sync attaches to people and companies. Customisation should therefore preserve the standard entities needed for communication. [Attio custom objects](https://attio.com/help/reference/managing-your-data/objects/create-and-manage-custom-objects)

The evaluation should start with a small relationship map. Choose an account with multiple workspaces and two concurrent commercial processes. Ask the team to find the owner, next action and relevant history without using an ambiguous global status.

Then change a relationship. Move one workspace to another company or close one deal while another stays open. The model should still make sense.

The trade-off is design responsibility. Flexible objects do not define your business for you. Someone must maintain field meaning, identity, permissions and integration behaviour.

Our [Attio implementation mistakes guide](https://www.martechdevs.com/blog/attio-implementation-mistakes) covers the failure cases that a visually tidy workspace can hide, including merge IDs and multi-value updates.

## Close: evaluate the daily work of a calling-heavy team

Close deserves a trial when sellers spend much of the day calling, emailing and following up, and switching between tools creates friction.

Its pricing page presents CRM, calling, SMS and workflows together, while distinguishing seat cost, telephony usage and AI credits. Bundled access does not mean every call, message or automated action is unmetered. [Close pricing and capabilities](https://close.com/pricing)

Evaluate it with an actual sales task sequence rather than a screenshot of a dialler:

- Find the next eligible lead.
- Review the recent conversation.
- Place a permitted test call.
- Log the outcome and schedule the correct next action.
- Stop follow-up when the prospect responds or declines.
- Review the manager's activity and conversion report.

Measure the number of manual handoffs and the completeness of the resulting record. Do not use raw call volume as the only success measure. A faster way to make poorly targeted calls is not a better sales system.

Also investigate phone-number availability, calling destinations, recording requirements and opt-out handling for your operating regions. These can determine whether the proposed workflow is practical.

The trade-off is coverage beyond sales engagement. Prove how marketing preferences, billing changes and customer support will reach the sales record. A strong seller workspace can still need other systems around it.

## Zoho CRM: evaluate control over process transitions

Zoho CRM is a useful candidate when the problem is inconsistent execution of a defined process.

Blueprint lets teams model states and transitions, with conditions and actions governing movement through the process. The official tutorial places it in Professional, Enterprise and Ultimate editions. [Zoho Blueprint overview](https://www.zoho.com/crm/process-management/blueprint.html), [Blueprint tutorial](https://www.zoho.com/crm/tutorials/blueprint/summary.html)

A relevant example is a proposal that cannot progress until the scope, pricing approval and decision contact are present. The question is not whether the CRM has a stage called “Proposal.” It is whether the transition enforces the right evidence and makes exceptions manageable.

During the trial, intentionally omit a required input. Try to progress the record as an ordinary seller. Then test the authorised exception path.

The trade-off is process maintenance. Rules can preserve quality, but excessive requirements encourage workarounds. Every mandatory step needs a reason, an owner and a route for legitimate exceptions.

Avoid selecting Zoho solely because its feature list is long. Select it if a defined process becomes easier to execute and govern in the configuration you can afford and maintain.

## A worked shortlist: one company, two different decisions

Consider an illustrative six-person B2B sales team. Its first complaint is that follow-up tasks are inconsistent. Its second is that account managers cannot see which of several product workspaces is approaching renewal.

These are different problems.

The follow-up complaint may be solved in the existing CRM through ownership, stage definitions and a tested automation. Replacing the platform for that issue alone would be premature.

The renewal problem requires a relationship model and data from the product or billing system. The team should prototype that model in its current setup and in a candidate such as Attio or HubSpot, depending on the wider journey requirements.

The proof should include one company with three workspaces, two subscription terms and two commercial owners. Ask each configuration to identify the next renewal and the person responsible without manually interpreting a note.

If the existing system can do that cleanly, keeping it remains valid. If every solution requires duplicating the company record and copying fields between records, the team has evidence of a model problem.

Now change the hypothetical company: it has a straightforward account model, but sellers spend hours switching between a dialler, email and CRM. Close becomes a more relevant trial candidate than a flexible custom-object model.

The right shortlist follows the failure you need to eliminate.

## How do you compare migration cost honestly?

Build a replacement inventory before cancelling anything.

Capture the active pipelines, fields, automations, forms, documents, reports, integrations, consent information and historical activity that the team actually uses. Classify each item as migrate, rebuild, archive or retire.

An exported contact file is only one part of this inventory. A report may rely on past stage changes, and a workflow may rely on a hidden field written by an integration.

For each candidate, calculate:

- Subscription and usage for the same roles and workload.
- Tools retained after the move.
- One-time data and workflow migration.
- Training and parallel-operation effort.
- Ongoing ownership of integrations and reporting.

Do not count a tool as removed until its required job works in the replacement. Do not assume historical activities preserve their original timestamps and associations until a test import proves it.

The [CRM property ownership guide](https://www.martechdevs.com/blog/crm-property-ownership) helps define which system should update shared facts after cutover.

## What should the final trial prove?

Use the same approved test dataset and tasks in every candidate:

## Checklist

- [ ] A seller can find the next eligible action without checking another spreadsheet.
- [ ] Two simultaneous deals for one customer remain distinct.
- [ ] Required commercial context reaches the next team.
- [ ] An opt-out or closed opportunity stops the appropriate follow-up.
- [ ] The manager's chosen report reconciles to the test records.
- [ ] A normal user cannot access restricted records or actions.
- [ ] A failed integration has a visible owner and recovery procedure.
- [ ] The proposed paid configuration includes everything used during the trial.
- [ ] Exported data remains usable if the company later leaves.

Record friction as well as pass/fail results. If a necessary task requires five manual repairs every week, include that work in the decision.

Choose the configuration the team can operate consistently. A CRM earns its place by helping people make and execute better decisions with reliable context.

## Frequently asked questions

### What is the best Pipedrive alternative for a small team?

There is no universal winner. Start with the team's primary constraint: cross-team journeys, relationship modelling, calling workflow or process enforcement. A small team should also consider who will administer the chosen system.

### Is HubSpot automatically better for marketing and sales together?

Its broader customer platform makes it a relevant candidate, but the actual configuration and commercial model matter. Prove one complete journey and verify the required access and capabilities. Shared branding across products does not replace a tested handover.

### Should I choose Attio if my business has unusual relationships?

It is worth evaluating when standard account and deal records do not adequately describe the business. Prototype the difficult relationships and reporting questions first. Flexibility creates value when the model is clear and maintained.

### Can a cheaper CRM increase total cost?

Yes, if it requires additional tools, manual reconciliation or fragile integrations to complete essential work. Compare the entire operating configuration and migration effort. The lowest seat price is only one input.

### How much history should we migrate?

Migrate history that supports active decisions, customer continuity or a defined retention requirement, and preserve an accessible archive for the rest. Test associations and timestamps before moving a large volume. Do not fill the new workspace with unused data merely because it can be exported.
