HubSpot's cost depends on the pricing model attached to your account, the products you buy, who needs paid access and the usage you generate. For Hub-based subscriptions, calculate seats, marketing-contact tiers, credits and onboarding separately. Selected accounts use a newer seats-and-credits model with different billing rules. Identify that model before comparing prices or planning savings.

USD figures below exclude tax, negotiated discounts and third-party services unless stated.

The cheapest price on a HubSpot page rarely describes the package a growing marketing and sales team will use. A company can have 25 employees, ten sellers, eight CRM editors and seven people who only need to read reports. Multiplying 25 by a single seat price gives the wrong answer before contacts or AI usage enter the calculation.

The right starting point is a role map and the actual order form.

## First, establish which pricing model applies

HubSpot's main catalogue still describes separate Hubs, Core and specialist seats, marketing contacts and HubSpot Credits. A separate flexible seats-and-credits programme changes that structure for eligible accounts.

HubSpot's migration FAQ says it applies to accounts directly notified of a transition. It describes replacing Hub base fees and marketing-contact billing with edition, seat and usage components. This is not a reason to assume every existing customer's invoice has changed. [Flexible-pricing migration FAQ](https://www.hubspot.com/flex-seats-and-credits-migration-faq).

The alternative programme's public documentation was also inconsistent in its seat names when checked: the supplement used Core and Front Office, while the migration FAQ used GTM and Ops. Confirm the terminology and entitlements in your specific quote. The supplement takes precedence where incorporated into the agreement and where its terms conflict with the general catalogue. [Flexible-pricing supplement](https://www.hubspot.com/flexible-seats-and-credits-pricing-supplement).

The worked bills below use the **Hub-based USD model**. If your proposal uses the alternative programme, replace contact-tier calculations with its applicable usage rates and allowances. Do not mix the two.

[Martechdevs' CRM and lifecycle work](https://www.martechdevs.com/crm-lifecycle) starts with the processes, permissions and data your team needs, then maps them to the appropriate product and seat requirements.

## The Starter price is an offer, not a universal list price

When checked in the live USD pricing page, Starter displayed **$7 per seat per month paid annually**. Switching the billing selector showed **$10 per seat per month with a monthly commitment**, alongside a $20 reference price. The general catalogue still lists Starter from $20 per seat per month. [Live Sales pricing](https://www.hubspot.com/pricing/sales), [HubSpot catalogue](https://legal.hubspot.com/hubspot-product-and-services-catalog).

That difference matters. An article saying the monthly option is always $20 would miss the active displayed offer; an article promising $7 forever would make a different mistake.

Capture the offer eligibility, payment schedule, commitment, included capacity and renewal basis. For a team needing ten Starter seats, the displayed annual offer works out to $840 for a year. That arithmetic does not establish the price of a later renewal or an upgraded product.

Starter can be appropriate while the required process fits its limits. Upgrade when a specific workflow, reporting or access requirement justifies the next product level. Avoid buying Professional solely because it sounds like the plan a serious company ought to use.

## Count seats by the work people perform

Under the Hub-based model, **View-Only seats** provide free viewing access. **Core seats** allow the relevant core work in purchased products. **Sales, Service and Revenue seats** provide the corresponding specialist Professional or Enterprise tools; those specialist seats also include Core access. Seat assignment and permissions are separate controls. [HubSpot seat management](https://knowledge.hubspot.com/account-management/manage-seats).

Build a roster with each user's actual requirements:

```text
User or role
Needs to view records?
Needs to edit records?
Needs advanced sales tools?
Needs advanced service tools?
Needs advanced quoting tools?
Purchased seat type
Assigned seat type
Owner of approval
```

A finance reader may need View-Only. An operations editor may need Core. A seller using the advanced sales workspace may need a Sales seat. Someone using several specialist products needs an entitlement review rather than an assumption that one specialist seat unlocks everything.

Do not add another Core charge to a specialist user's budget merely because they also edit records. Conversely, do not expect a Core seat to provide every Sales Hub feature.

For mixed Hub tiers, the catalogue prices Core access according to the highest applicable subscription level. Adding one higher-tier product can therefore affect the wider seat calculation. [Seat pricing rules](https://legal.hubspot.com/hubspot-product-and-services-catalog).

## Marketing contacts are a separate capacity decision

For accounts using marketing contacts, the billable population is the contacts designated for supported marketing activities, rather than every CRM record. Marketing email and some advertising and workflow uses require that status. It is a billing and product setting; it should not be confused with consent or subscription permission. [Understanding marketing contacts](https://knowledge.hubspot.com/records/marketing-contacts).

Marketing Hub Professional's catalogue starting point is **$890 per month**, including **three Core seats and 2,000 marketing contacts**. Additional Professional Core seats are **$50 per month** at the catalogue rate. In the first additional contact band, capacity is sold in **5,000-contact increments at $250 per month**; later volume bands have different rates. [Product and services catalogue](https://legal.hubspot.com/hubspot-product-and-services-catalog).

The live annual-payment page displayed a lower base of **$800 per month** and additional Core seats from **$45 per month**. Compare the same payment basis across every line item; do not quietly combine an annual base discount with an assumed discount on every add-on. [Marketing Hub pricing](https://www.hubspot.com/pricing/marketing).

### A status change is not an immediate refund

Exceeding a contact tier can trigger an automatic upgrade. HubSpot's billing guidance says the higher tier remains until renewal even if the contact count later falls. Changing a contact to non-marketing takes effect on the relevant update date, which is distinct from the contract renewal date. [Marketing-contact billing](https://knowledge.hubspot.com/account/understand-marketing-contacts-billing).

For example, a fictional account with capacity for 7,000 marketing contacts should not import 3,000 additional contacts as marketing while assuming that scheduling 3,000 old records for non-marketing status instantly offsets them. The effective dates determine whether the account crosses the tier.

Use import defaults, form settings, workflow controls and a maximum marketing-contact setting where available. Deleting useful history is a poor substitute for understanding the billing state.

## Credits need a usage forecast and a spending rule

HubSpot Credits pay for specified actions. The main catalogue lists credits at **$0.01 each**. A text-based Customer Agent resolution uses **50 credits**, equivalent to **$0.50 of credit consumption** before applying an included allowance. Other actions have their own rates. [HubSpot Credits overview](https://www.hubspot.com/products/artificial-intelligence/credits).

A 200-resolution month therefore consumes 10,000 credits for that activity. It does not necessarily produce a $100 invoice, because included credits may cover part of the usage. It can also cost more overall if other features draw from the same balance.

For the Hub-based Professional products in the examples below, use one 3,000-credit included allowance. Included allowances are not simply added together because two Hubs are purchased. Check your account's highest applicable allowance and any product-specific differences. [Included-credit rules](https://legal.hubspot.com/hubspot-product-and-services-catalog).

Then decide what happens at the limit. With only included credits, usage-based features can pause. Purchased capacity can trigger automatic upgrades unless the relevant pay-as-you-go configuration is enabled. HubSpot also supports account and feature limits, but a feature limit does not reserve credits for that feature. [Credit billing and limits](https://knowledge.hubspot.com/account-management/understand-hubspot-credits-and-billing).

Assign an operational owner to the pause condition. A cap that stops an important customer workflow needs an alert and a fallback, not merely a finance notification after the fact.

## Worked bills for ten, 25 and 50 people

These are fictional team configurations using published catalogue rates. They assume Marketing Hub Professional at $890 monthly, Sales Hub Professional at $100 per Sales seat monthly, additional Professional Core seats at $50, and the contact increments described above. The Professional subscriptions retain their applicable annual commitment despite monthly payment. Annual prepayment offers can change these amounts. [Sales pricing and payment terms](https://www.hubspot.com/pricing/sales).

The examples assume steady usage, one 3,000-credit allowance, no other credit-consuming actions and enough purchased credit capacity for the stated consumption. They exclude implementation labour, taxes, other Hubs, messaging add-ons and external tools.

### Ten people: $1,610 per month in this configuration

Four sellers use Sales seats, three editors use the included Core seats and three readers use View-Only. The business needs 7,000 marketing contacts and 200 Customer Agent text resolutions per month.

```text
Marketing Hub Professional                 $890
4 Sales seats × $100                       $400
1 additional 5,000-contact increment        $250
7,000 purchased credits × $0.01              $70
Monthly total                            $1,610
```

The agent consumes 10,000 credits; the assumed included 3,000 leave 7,000 to purchase. The ten-person headcount does not mean ten Sales seats.

### Twenty-five people: $2,860 per month

Ten sellers need Sales seats, eight other editors need Core seats and seven readers use View-Only. Five Core seats are additional to the included three. The business needs 12,000 marketing contacts and 500 monthly resolutions.

```text
Marketing Hub Professional                 $890
10 Sales seats × $100                    $1,000
5 additional Core seats × $50               $250
2 additional contact increments × $250      $500
22,000 purchased credits × $0.01            $220
Monthly total                            $2,860
```

This bill depends on the proposed role split. If some editors need advanced service or quoting tools, the entitlement and cost change.

### Fifty people: $4,960 per month

Twenty sellers use Sales seats, 15 other editors use Core seats and 15 readers use View-Only. The account needs 22,000 marketing contacts and 1,000 monthly resolutions.

```text
Marketing Hub Professional                 $890
20 Sales seats × $100                    $2,000
12 additional Core seats × $50              $600
4 additional contact increments × $250    $1,000
47,000 purchased credits × $0.01            $470
Monthly total                            $4,960
```

The practical lesson is to model users, marketable audience and automated work separately. They can grow at different rates.

## Add onboarding and implementation to year one

Marketing Hub Professional lists required one-time onboarding of **$3,000**. Sales Hub Professional lists **$1,500**. Applying both listed fees to the examples produces first-year software, credit and onboarding totals of **$23,820, $38,820 and $64,020**, respectively, assuming unchanged monthly usage and no negotiated adjustment. [Marketing onboarding](https://www.hubspot.com/services/onboarding/marketing-hub), [Sales pricing](https://www.hubspot.com/pricing/sales).

Vendor onboarding provides guidance within its scope. A complete deployment may also require source-data cleanup, property design, association repair, billing integration, product-data sync and report validation.

Price those deliverables explicitly. If a partner arrangement changes the onboarding requirement, have that reflected in the actual proposal rather than assuming a public price has been waived.

For SaaS teams, [syncing Stripe with HubSpot](https://www.martechdevs.com/blog/stripe-hubspot) and [bringing product usage into HubSpot](https://www.martechdevs.com/blog/product-data-in-hubspot) describe work that can materially affect the implementation scope.

## Under flexible pricing, forecast actions as well as seats

For an account on the alternative programme, start with the applicable edition and seat quote. Then inventory the actions that consume credits, their rates, the included balance and the expected monthly volumes.

The general calculation is:

```text
Monthly credits required
= sum of each billable action count × its applicable credit rate
Additional usage cost
= billable credits beyond included capacity × applicable price
```

Use the actual rate sheet, including volume bands and recurring charges where specified. Do not assume every workflow action has the same rate or that an action charged under one pricing model is charged identically under another.

Run a normal month, a campaign-heavy month and a growth scenario. An account with few users but heavy automation can have a different cost profile from one with many users and light automation.

The migration FAQ says historical usage informs migration capacity, but increased usage can still create charges. A migration promise about the initial price does not mean future usage is unlimited. [Flexible-pricing migration details](https://www.hubspot.com/flex-seats-and-credits-migration-faq).

## Reduce the bill without breaking the workflow

Start with unused purchased seats and incorrectly assigned specialist access. Reassign ownership before removing a departing user, and distinguish removing access from reducing the purchased commitment. HubSpot notes that seat removal does not change the current invoice. [Seat-management rules](https://knowledge.hubspot.com/account-management/manage-seats).

Next, review the marketing-contact population under the applicable model. Keep contacts as marketing when the planned, permitted activity needs it. Schedule changes ahead of the effective update date and evaluate the tier required at renewal.

Then inspect credit-consuming automation. Look for repeated processing of unchanged records, duplicated workflows and actions that generate output nobody uses. Compare the credit cost with a useful result, such as an accepted qualification or a correctly resolved support case.

Finally, compare annual prepayment with monthly payment only after the package is right. A discount on unused functionality is still spending on unused functionality.

## Plan renewal before the notice arrives

HubSpot's current general terms prohibit subscription downgrades during the current term and allow renewal fees to increase up to then-current list price, with at least 30 days' notice of that increase. The non-renewal mechanism and any order-specific terms also matter. The 30-day price-notice provision is not a universal deadline for every customer action. [Customer terms](https://legal.hubspot.com/terms-of-service).

Set an internal review 60 to 90 days before renewal. Reconcile purchased seats, assigned users, contact capacity, credits, discounts and planned projects. That gives the team time to agree on a smaller package or an alternative without rushing through data exports and procurement.

Eligible startups should investigate the startup programme before buying qualifying Professional or Enterprise products. The advertised funding-track discount can reach 90% in year one, then decreases in later years. Budget those later years explicitly. [HubSpot for Startups](https://www.hubspot.com/startups).

## Frequently asked questions

### Is HubSpot free for a small business?

HubSpot offers free tools with limits; the live pricing page currently describes up to two users. Paid requirements arise from the work, access and capacity you need. Test the essential workflow before assuming either free tools or a particular paid tier will cover it.

### What is the difference between a Core and Sales seat?

A Core seat provides core access within the purchased products. A Sales seat provides the corresponding advanced Sales Hub functionality and includes Core access. Permissions still determine what the user can do within that entitlement.

### Does $0.50 per Customer Agent resolution equal my final charge?

It represents 50 credits at the listed one-cent rate. Included credits, other usage, capacity purchases and billing settings affect the invoice. Keep the action's consumption separate from the account's incremental cash cost.

### Can I lower the bill immediately by removing contacts or users?

Not necessarily. Access, contact status, purchased capacity and contract commitments are different states. Some changes take effect at a scheduled update or renewal, and removing a seat assignment does not itself reduce the current invoice.

### Should I buy Sales Hub Professional or Starter plus an outreach tool?

Compare the complete workflow: CRM updates, sequences, reporting, ownership, consent handling and maintenance. Starter plus another tool can fit a narrow requirement, but integration costs and fragmented activity history may remove the apparent saving. Price the system your team can actually operate.
