Fivetran and Airbyte can both move your marketing data into a warehouse. The useful comparison starts with what must arrive, how quickly it must arrive and who fixes the pipeline when it stops. Connector logos and headline prices cannot answer those questions.

For a small team, I would shortlist the managed versions first, prove the difficult source objects, then compare the monthly bill and operating effort. Self-hosting deserves a place when you have a concrete infrastructure requirement and someone who will own it. Saving a subscription is a weak reason to create an unattended production service.

This guide gives you a way to make that decision, including current pricing rules, illustrative costs and a pilot you can adapt. The examples are calculations and proposed tests, not results from running either vendor in your account.

## Define the marketing output before choosing the pipeline

Suppose the growth team needs yesterday's qualified pipeline by acquisition channel before its morning meeting. The ingestion requirement includes more than a contacts table:

- Advertising spend at the account, date and campaign grain used in reporting.
- Deals, their amounts and currencies, and the people or companies associated with them.
- The stage history needed to establish when a deal qualified.
- Deletions, merges and corrections that would otherwise leave stale records behind.
- Enough source timestamps to distinguish a late update from a broken sync.

Write down the deadline and the consequence of missing it. A daily planning report may tolerate a two-hour delay. A sales alert used to call a new lead may need minutes. That difference changes the product tier, source API pressure and recovery procedure worth paying for.

Keep ingestion and modelling responsibilities separate. A successfully copied deal still needs an agreed qualification rule, currency treatment and channel mapping. Start with the [marketing data warehouse design](https://www.martechdevs.com/blog/marketing-data-warehouse) if those decisions are missing.

Your acceptance statement should be specific: “The qualified-pipeline model includes every eligible deal observed by the source cutoff, preserves its company association and is ready by 08:30.” You can test that. “Reliable data integration” is a sales phrase until you define it.

## Compare the right editions

Fivetran currently offers Free, Standard, Enterprise and Business Critical. Its Free allowance includes up to 500,000 monthly active rows for connections. Standard lists 15-minute sync scheduling; Enterprise lists one-minute scheduling and a Hybrid Deployment option. Product and connector eligibility still matter. [Fivetran pricing](https://www.fivetran.com/pricing)

Airbyte Standard starts at $20 per month with five credits; additional credits cost $5. Plus starts at $189 with 40 credits and includes different features and scheduling. Pro and Enterprise Flex use capacity-based Data Workers rather than the Standard/Plus consumption model. Core is the self-managed route. [Airbyte pricing](https://airbyte.com/pricing)

Do not compare a paid Fivetran plan against self-hosted Airbyte and attribute the entire difference to the vendors. You have changed who operates the infrastructure. Also, a scheduled sync interval is not a promise that a large API extraction, warehouse load and downstream model will finish within that interval.

Choose the minimum edition that meets your actual access, deployment, support and freshness requirements. Then compare costs within that scope.

## The billing meters reward different workloads

### Fivetran counts active records, with an important history exception

For ordinary current-state replication, Fivetran counts a distinct primary key within a connection and table once in a calendar month, even if it changes repeatedly. Replicating that data through another connection or destination creates a separate billing scope. History rows require different treatment. [Fivetran usage-based pricing](https://fivetran.com/docs/core-concepts/usage-based-pricing)

The March 2025 pricing change moved volume tiering from the account to each connection. It also made unchanged re-synced rows free under the updated rules. [2025 pricing update](https://fivetran.com/docs/core-concepts/usage-based-pricing/pricing-updates/2025-pricing-faq)

The January 2026 update added a Standard $5 base charge for connections with 1 to 1 million paid MAR, excluding Free accounts and connections with no paid MAR. Deletes became chargeable under the affected contracts, and repeated history-mode updates now contribute paid rows. PAYG changed on January 1; annual-contract timing depends on renewal and existing terms. [2026 pricing update](https://fivetran.com/docs/core-concepts/usage-based-pricing/pricing-updates/2026-pricing-updates)

That history exception matters for marketing. “The same customer changed 30 times” is not enough to price a pipeline. You must know whether the destination retains one current record or separate versions of its changes.

### Airbyte Standard and Plus charge for data synced

Airbyte charges six credits per million API or custom-source rows. Database and file sources use four credits per GB measured in Airbyte's transfer representation, which can differ from the compressed source size. A full refresh bills every row synced. Exhausting credits does not stop syncs; extra usage is billed in arrears. [Airbyte billing documentation](https://docs.airbyte.com/platform/cloud/managing-airbyte-cloud/manage-credits)

The September 2026 Standard update replaced the old $10 entry price and $2.50 additional-credit price. Airbyte's September 23 release note confirms the newer pricing was in effect. Old comparisons using those previous rates need recalculation. [Airbyte Cloud release notes](https://github.com/airbytehq/airbyte/blob/master/docs/release_notes/cloud/readme.md)

A destination containing one million deduplicated rows could have received many more rows during the month. Price the movement, not just the final table size.

## Three calculations that expose the difference

These examples use USD monthly list pricing, exclude tax, warehouse bills and labour, and assume no discounts or carried-forward credits. They illustrate one API connection with one million distinct current-state records active during the month. They are not estimates based on employee count.

Fivetran's public estimator, inspected for one HubSpot connection on Standard with monthly card payment, showed **$500 at one million MAR**. It also showed $1,474 at 12 million MAR. Those are calculator outputs for the stated settings, not a universal per-million rate. [Fivetran pricing estimator](https://fivetran.com/pricing-estimator)

### Each record is delivered once

If Airbyte delivers one million API rows, that consumes six credits. Standard includes five, so the illustration is:

`$20 + (6 − 5) × $5 = $25`

The corresponding one-million-MAR Fivetran estimate is $500. That is a meaningful software-price difference. It does not establish equal extraction coverage, support, latency or recovery effort.

### The same records are delivered 12 times

Suppose repeated updates cause 12 million API rows to pass through Airbyte. Its Standard calculation becomes:

`$20 + (72 − 5) × $5 = $355`

Under the stated current-state Fivetran assumptions, the same one million distinct active records remain one million MAR. However, if the work instead produces **12 million separately billable history rows**, the Fivetran calculator example is $1,474. Parent tables and other streams can add further usage.

This is why a comparison that says “Fivetran only charges once” without identifying the sync mode can produce a bad purchasing decision.

### A full refresh runs every day

For a fixed one-million-row API dataset refreshed daily over 30 days, Airbyte moves 30 million rows: 180 credits and **$895 on Standard** under these assumptions. Recalculate against available Plus packages before buying; Standard is not necessarily the cheapest eligible package at that usage.

For Fivetran, unchanged re-syncs follow its free re-sync rules. Changes, primary-key behaviour and history still need inspection. You cannot turn “unchanged rows may be free” into “every backfill is free.”

The practical lesson is to record unique active keys, delivered rows, history versions and refresh mode separately. Use the [Fivetran pricing audit](https://www.martechdevs.com/blog/fivetran-pricing) to investigate its side of the bill.

## Check connector depth using the objects your reports need

A connector named HubSpot can support current contacts while leaving you with additional work for historical qualification, associations or custom objects. The product name is only the beginning of the evaluation.

Fivetran's HubSpot documentation distinguishes current-state and history tables. Deal-stage history is in `DEAL_STAGE`, not `DEAL_PROPERTY_HISTORY`. It also says this connector does not support switching sync modes, so generic advice to disable history mode is not a universal fix. [Fivetran HubSpot connector](https://fivetran.com/docs/connectors/applications/hubspot)

Airbyte's current HubSpot connector documents standard and custom association streams, property-history configuration and incremental behaviour. Property history has specific cursor and lookback considerations; selecting only required history properties can change the work performed. Do not rely on old claims that all associations are absent or that every stream behaves identically. [Airbyte HubSpot connector](https://docs.airbyte.com/integrations/sources/hubspot)

For a qualification report, take one deal through a known sequence: qualified on Monday, demo on Wednesday, closed on Friday. Ask each candidate pipeline to produce Tuesday's stage and today's stage. A destination with only Friday's value cannot reconstruct Tuesday just because it has the right deal ID.

Repeat that test for an association change, a merge and a deletion. Check whether the source itself exposes the required change before blaming the connector. Some missing information cannot be recovered by changing ingestion vendors.

Authentication also needs current instructions. HubSpot disabled creation of legacy private apps for new accounts from September 28, 2026 and announced the same change for older accounts on October 26. Existing apps continue working. Its replacement guidance points to Service Keys for applicable system integrations. Use the connector's supported authentication route rather than an old tutorial. [HubSpot authentication change](https://developers.hubspot.com/changelog/legacy-private-app-creation-sunset)

## Put an owner and a cost against maintenance

Managed ingestion still needs someone to handle expired permissions, source-side changes, unexpected volumes and broken downstream assumptions. Self-hosting adds responsibility for the platform itself.

Airbyte's upgrade guide describes downtime during upgrades and separate handling of platform and connector versions. Include upgrade planning, recovery and monitoring in a Core deployment estimate. [Airbyte upgrade documentation](https://docs.airbyte.com/platform/operator-guides/upgrading-airbyte)

Also inspect the licence for the components and version you intend to operate. The current Airbyte repository licence is ELv2, including restrictions on providing substantial functionality to third parties as a hosted or managed service. “Available on GitHub” does not mean every commercial hosting use is unrestricted. [Airbyte repository licence](https://github.com/airbytehq/airbyte/blob/master/LICENSE)

For the first worked example, the software-price gap is $475 per month. At an illustrative internal capacity value of $100 an hour, **4.75 additional maintenance hours** would consume that gap. This is a planning threshold, not evidence that either vendor needs that many hours.

Record actual effort during the pilot: configuration, debugging, schema adjustments, recovery and recurring monitoring. Separate one-time migration work from ongoing work. A founder's time still has a cost when no invoice arrives for it.

Then evaluate incident consequences. A late weekly board dashboard and a broken audience suppression feed should not carry the same service requirement. The reader who needs urgent activation should also review the [reverse ETL operating model](https://www.martechdevs.com/blog/reverse-etl); moving data into the warehouse is only part of that path.

## Run one bounded pilot before moving the whole stack

Choose the source with the hardest required behaviour, not the easiest sample dataset. Use a separate destination schema so comparisons do not overwrite the existing pipeline.

The following is an original planning record, not executable vendor configuration:

```yaml
pilot:
  output: qualified_pipeline_by_acquisition_channel
  source: hubspot_test_account
  observation_days: 14
  destination_schema: ingestion_candidate
  business_deadline_local: "08:30"
  accepted_unexplained_missing_deals: 0
  required_cases:
    - new_deal_with_company_association
    - amount_correction_in_existing_deal
    - stage_history_across_three_dates
    - changed_company_association
    - merged_contact
    - deleted_record
    - interrupted_sync_and_recovery
    - new_property_added_to_source
  record_daily:
    - source_cutoff_timestamp
    - latest_complete_destination_timestamp
    - unique_expected_and_observed_ids
    - unexplained_duplicates
    - billable_usage_by_stream
    - operator_minutes
```

Fourteen days is a proposed observation period, not a guarantee that a vendor trial covers every test. Include a deliberate busy day or controlled change burst. A quiet fortnight can understate month-end imports and mass CRM updates.

Reconcile sets of IDs, selected values and historical states. If the source expects 100 deals and the destination contains 100 rows, you have not proved completeness: one missing deal plus one duplicate produces the same row count.

Track the last complete data boundary. A successful small stream does not establish that a large parent table and all its relationships are ready. Schedule transformations only after their required inputs meet the cutoff, and make partial-data behaviour explicit. The [dbt guide for marketing](https://www.martechdevs.com/blog/dbt-for-marketing) explains the modelling layer that follows ingestion.

## Choose using the evidence you now have

Fivetran belongs on the shortlist when its managed connector behaviour covers your required outputs and the price is justified by the operating work it removes. Its Free plan can also make a small eligible workload a different decision from the paid comparison above.

Airbyte Cloud belongs on the shortlist when its tested streams meet the requirement and its consumption model produces a better maintained cost. Evaluate Core when infrastructure control or customisation has concrete value and your team can operate the service.

Using different tools for different sources can be sensible. It also creates two sets of credentials, monitoring, billing and recovery procedures. Add that cost before declaring a hybrid stack the winner.

Before approving a choice:

## Checklist

- [ ] Confirm the exact source objects, relationships and history are covered.
- [ ] Measure complete output freshness, including warehouse modelling.
- [ ] Price the actual billing units and eligible plan, including peak changes.
- [ ] Check the current contract and future renewal treatment.
- [ ] Assign platform, connector and business-data owners.
- [ ] Reconcile a recovery run and document the remaining discrepancies.
- [ ] Prepare a cutover that preserves downstream names, keys and historical meaning.

Keep both pipelines available through a defined reconciliation window, but prevent duplicate downstream loads or audience sends. Retire the old route only after the new output passes the agreed checks. A smaller ingestion bill is useful only if the business can still trust the data.

If you need help running this evaluation, our [data warehouse and CDP service](https://www.martechdevs.com/data-warehouse-cdp) can scope the required outputs, test the difficult source behaviour and compare the full operating cost before you commit.

## Frequently asked questions

### Is Airbyte cheaper than Fivetran?

It can be, especially for low-repeat API movement on an appropriate Cloud plan. The one-million-row illustration is $25 for Airbyte Standard versus a $500 Fivetran Standard estimator result. Repeated deliveries, retained history, package selection and maintenance can change the result. Eligible Fivetran Free workloads need a separate comparison.

### Does Fivetran charge every time a row changes?

Ordinary current-state replication generally counts a distinct key once per month within its billing scope. History versions follow different rules, and the same data replicated through additional connections is not globally deduplicated for billing. Inspect the connection's actual schema and contract.

### Is self-hosted Airbyte free?

It removes the equivalent managed Cloud consumption bill, but you still pay for infrastructure and operating work. Review the deployed components' licences, support expectations, upgrades, backup and recovery. Assign an owner before treating self-hosting as a cost-saving plan.

### Which is better for HubSpot data?

Test the exact output you need: present values, deal-stage history, custom-object relationships, merges and deletion handling. Current documents describe substantial capabilities in both connectors. A generic feature checklist cannot establish that either one correctly produces your qualification or attribution model.

### Can I migrate without rebuilding every dashboard?

Often you can preserve a stable modelling layer while replacing raw ingestion, but source schemas and historical behaviour need mapping. Run the candidate in a separate schema, reconcile the models and switch their inputs deliberately. Preserve a recovery route until the agreed reporting and activation checks pass.
